GB LIMO – CANCELLATION, NON-REFUND & BOOKING CHANGE POLICY

This Policy applies to all services provided by GB Limo (“Company”). By placing a booking, you confirm that you have read, understood, and unconditionally agreed to this Policy.


1) Non-Refundable Payments

1.1. All payments are strictly non-refundable, including deposits, partial and full payments, for any reason.
1.2. Funds are non-refundable from the moment of booking due to allocation of resources (vehicle, chauffeur, scheduling, and operational costs).
1.3. Payment processing fees and surcharges (e.g., Stripe fees) are never refundable.
1.4. Unless otherwise stated in writing, a non-refundable deposit of at least 30% is charged at booking. The remaining balance is typically due on the service day at pickup/dispatch; for certain services or peak dates, GB Limo may require full pre-payment prior to service.


2) Cancellations & No-Show

2.1. Written notice only: Cancellations/changes must be emailed to info@gblimo.ca (or the email stated on your confirmation). Phone/verbal requests are not valid.
2.2. Inside 14 days of service: the full remaining balance will be charged.
2.3. Inside 7 days of service: the full service amount will be charged (100%).
2.4. No-Show: Failure to meet the chauffeur at the scheduled time/location (including exceeding the included waiting time) is treated as a cancellation and 100% of charges apply.
2.5. Time-and-distance or hourly minimums on your confirmation remain billable even if your actual usage is shorter.


3) Booking Changes (Reschedule / Reduction)

(Prevents “I didn’t cancel, I just changed” loopholes.)
3.1. Change window: Change requests must be received ≥14 days before the service date and are subject to availability and a Change Fee (min. $95 CAD).
3.2. Within 14 days, any change (date/time/route/vehicle) is at Company discretion and can be treated as a cancellation under Section 2.
3.3. Reductions = Partial Cancellation: Any reduction in the number of vehicles, service hours, stops, or passengersthat reduces the scope/value of the booking is treated as a partial cancellation; Sections 1 & 2 apply to the reduced portion.
3.4. Upgrades/Substitutions: If the originally booked class is unavailable, GB Limo may supply an equal or higher class at no extra cost. Customer-requested downgrades are treated as reductions (3.3).


4) Force Majeure & Service Disruptions

4.1. Events beyond GB Limo’s control (e.g., severe weather, accidents, road closures, government actions, pandemics) are Force Majeure.
4.2. No cash refunds are issued in Force Majeure. At GB Limo’s sole discretion, a non-transferable service credit valid for 12 months may be issued.
4.3. GB Limo is not liable for delays or missed connections caused by circumstances outside its control.


5) Waiting Time, Overtime & Included Time

5.1. Included Airport Waiting: Domestic arrivals include 30 minutes; international arrivals include 60 minutes from actual gate arrival (when flight tracking is provided).
5.2. Other pickups include a 15-minute grace period.
5.3. After the included time, waiting/overtime is billed at the prevailing hourly rate in 30-minute increments (or as per your confirmation). Additional stops/route deviations are billable.
5.4. For hourly bookings, time is billable garage-to-garage (from vehicle dispatch until return) unless your confirmation states otherwise.


6) Client Conduct, Safety & Fees

6.1. Strictly prohibited: smoking/vaping, illegal substances, abusive/threatening behavior. Violations may result in immediate termination with no refund.
6.2. Age & Alcohol: All passengers must comply with legal drinking age (Ontario: 19+). Underage drinking leads to immediate termination with no refund.
6.3. Cleaning/Biohazard: Excessive cleaning or biohazard (e.g., sickness) will incur a minimum $250 CAD cleaning fee, plus downtime and repair costs if applicable.
6.4. Damages: Any vehicle damage caused by passengers is billable at actual cost (parts, labor, downtime).
6.5. Child Seats/Pets: Must be requested in advance and may incur fees.
6.6. Photography/Video: GB Limo may use general interior/exterior images for marketing; opt-out requests must be made in writing before service.


7) Airport, Meet & Greet & Add-Ons

7.1. Airport pickups require a valid flight number for tracking; incorrect/omitted details may void included waiting times.
7.2. Meet & Greet (if selected) is an extra, non-refundable fee (e.g., $150 CAD).
7.3. Tolls, parking, venue fees, and special permits are billable extras.


8) Charges, Authorizations & Balances

8.1. You authorize GB Limo to charge the card on file for waiting time, overtime, route changes, damage/cleaning, no-show, tolls/parking, and unpaid balances.
8.2. If a balance remains unpaid when due, GB Limo may suspend service and charge late fees or collection costs where permitted by law.
8.3. HST and applicable taxes are added where required.


9) Third-Party Operators & Scope of Liability

9.1. GB Limo may act as a broker/arranger and assign trips to vetted affiliates. Your booking terms remain the same.
9.2. GB Limo’s maximum liability is limited to the amount paid for the specific service (credits where applicable); GB Limo is not liable for indirect or consequential losses.


10) Disputes, Chargebacks & Evidence

10.1. By booking, you acknowledge this Non-Refund Policy.
10.2. GB Limo records name, email, IP address, browser info, timestamp, and acceptance of this Policy at checkout. A confirmation email is sent.
10.3. In any dispute/chargeback, GB Limo will submit: booking confirmation, acceptance records (checkbox + IP + timestamp), payment authorizations/receipts, driver/vehicle assignment logs, correspondence, GPS/dispatch proofs.
10.4. Unfounded chargebacks: You agree to reimburse GB Limo for bank/processor fees and reasonable legal/collection costs.


11) Governing Law & Severability

11.1. Governed by the laws of Canada and the Province of Ontario.
11.2. Exclusive jurisdiction: Ontario courts.
11.3. If any clause is deemed invalid, the remaining provisions remain in force.


12) Acknowledgement

By making a reservation, you confirm you have read, understood, and unconditionally agreed to this Policy in full.
